How To Identify Members With Missing Data

If you believe you have Members with missing Custom Field data you can easily run a report that captures any examples. This article shows a few Queries that can be used when targeting a report, but can be adapted to the fields you want to check by simply replacing the Field Value choice used for filtering.

Ensuring You Capture All Members

To ensure you capture all Members, and not just those subscribed to email you need to ensure that your Query includes all email subscription statuses. You can do this by selecting all of the tick boxes in the Email Subscription Status box beneath the Query Builder. You don't need to worry about the Mobile Subscription Status boxes beneath.



Example Report Query: Checking A Single Field For Missing Data

To identify if any members are missing data from a single field, create a report that excludes activists with a value in that field. In this example, we've used the Query Builder to target members with missing Ward data. To identify members without a Ward value you need to create a report that targets Activists based on these filters:
  1. Include Local_Party with value Your Local Party Name.
  2. Include Membership_Status with value % (this will capture all Membership_Statuses including Cancelled & Grace).
  3. Exclude Ward with value % (this will exclude members with any value in the Ward field).


Example Report Query: Checking Multiple Fields

To check a number of fields for missing values in a single report you need to add a group for the fields you want to check. In the example below we're searching for any Members who are missing a value in the Member, Ward or Parliamentary_Constituency fields. It's important to create these as a group and select OR to ensure the report is checking for examples of at least one missing field value. If you create these as individual rules then all three field values would need to be blank for the result to be returned. This Query has been built based on these filters:
  1. Include Local_Party with value Your Local Party Name.
  2. Include Membership_Status with value % (this will capture all Membership_Statuses including Cancelled & Grace).
  3. Exclude activists who have the field Ward with value %, Parliamentary_Constituency with value %, or Member with value %.


As you're checking multiple fields it's a good idea to add them each to the report when on the Choose Data screen. This will make it easier and quicker to check which field values are missing per member.



How To Deal With Missing Data

If the fields you're checking have been created at your local party level you can amend the data yourself. If the fields are related to an activist's membership then you should not make any changes and raise a support ticket so we can investigate.
