How To Report On Responses To Your Actions

Actions are at the heart of Action Network, and they're a valuable tool to enable you to capture valuable data from members and supporters. You can choose to record this data within the Activist Record themselves, or in a lot of cases you can use Action-Only Fields to link the response to an Action, without the data being added to Activist Records.

In this guide we'll show you the different ways you can generate reports to show the responses you've had to your Action.

From The Action Itself

1. Navigate to the Manage page of the Action you'd like to report on, by clicking on the Manage button next to the Action in question.



2. You'll see some tabs appear that allow you to navigate between different parts of your Action. The tabs available will differ depending on the type of Action you're working with. You'll need to select the following tabs to access a list of action takers.
  1. Forms: Form Answers
  2. Fundraisers: Donor Information
  3. Ticketed Events: Ticket Report
  4. Events: RSVPs
  5. Letter Campaigns: Target Report
Petitions have been excluded from this guide as there are some additional steps required. If you need help reporting on a petition feel free to raise a ticket.



3. From this tab you can view the last 100 responses you've received. Or you can scroll down to generate and download reports.



4. To get the most up to date results click on Generate Report.



5. On the next screen you can choose the start and end dates for your report, should you only wish to see responses from a particular time period. You can also add in extra Custom Fields, that weren't captured as part of the Action. In the example below you can see we've included the Membership_Status field.



6. Once you've chosen your start and end dates, and any additional Custom Fields, click on the button marked DOWNLOAD CSV.



7. A message will appear telling you that your report is being prepared, and that you'll receive an email when it's ready to download.



8. Once you've received the email letting you know your report is ready you can click the link in the email to start the download, or return to the tab with your results and click on Download Report. Make sure you've refreshed the page and that the date and time of the report has updated to ensure you're downloading the new version.



9. Your results will now be downloaded as a CSV file, which can be opened in your chosen spreadsheet app.

From The Report Builder

This guide assumes you're familiar with creating reports. If you don't know how to build a report start here: Creating A Report In Action Network.
1. Before building your Query in the report builder make sure you've chosen all of the email subscription statuses you'd like to include. Remember, not all action takers will have subscribed to your email list.


2. Set the first filter as Actions & Uploads, and make sure it's set to Include.



3. Choose the Action you want to report on. You can include more than one Action if you'd like, for example you may have created a Ticketed Event, and a free Event for the same occasion, and want to report on both together.



4. Click on the button marked SAVE & SELECT DATA.



5. On the following screen add in the Fields you'd like to include in your report.
You can include Action-Only Fields in these selections if the Action you selected in step 3 above includes them.



6. One you've added all the fields you'd like to include, click on the button marked SAVE & GET RESULTS.



7. Your report will now be generated. You can do all of the things you'd usually do with a report.
