How To Create A New Member Report In Action Network

How Are New Members Tagged In Action Network?

When a member joins via the Green Party Join Site they are added to Action Network after a short wait. This is achieved by automatically pushing the new member's details through an Action Network Form. A Ladder then applies two tags GPEW New Member (Joined In Last Seven Days), and GPEW New Member (Joined In Last Thirty Days). This same ladder removes the  seven day Tag seven days later, and the thirty day tag thirty days later. These tags are shared with all Groups within the GPEW Network, so will be visible on Activist Records no matter what Group they're a part of.



Who Is And Isn't Tagged In This Way?

You may question how this Tag is applied to Members, and who it does and doesn't apply to. The original trigger that starts the process is signing up via the join site at https://join.greenparty.org.uk. This means that new members, returning members, and supporters who have been converted to members will all be tagged in this way. Existing members who move into your local party area will not be tagged. We're currently testing a separate journey for these members.

Carla has never been a member of GPEW before, and has never subscribed to emails or shared any of their details with us previously. They decided to join for the first time, and headed to the Green Party join site to get started.
Carla will be recognised as a new member and will be tagged with GPEW New Member (Joined In Last Seven Days ) and GPEW New Member (Joined In Last Thirty Days).
Adrian
Adrian cancelled their membership three years ago, but has been inspired by our recent successes and decides to come back to the party via the join site. They remained subscribed to emails from GPEW and their local party since they left the party. They've rejoined the party using the same email address they were previously registered with.
Even though Adrian is already subscribed to email they will be recognised as a new member and will be tagged with GPEW New Member (Joined In Last Seven Days) and GPEW New Member (Joined In Last Thirty Days). As they've registered with the same email address they used previously their previous membership information will still be accessible, including their original join date.
Amelia
Amelia has been subscribed to emails from various Green Party groups for almost a year. They wanted more info before joining the party. They're now ready to join and head to the Join Site, using the same email address they were subscribed to email with.
Amelia will be tagged with GPEW New Member (Joined In Last Seven Days) and GPEW New Member (Joined In Last Thirty Days). This Tag will be visible on their Activist Record in every Group they've signed up to, as well as the local and regional party groups they're added to when they become a member.
Caroline
Caroline has been a member for some time, and has recently moved from Brighton & Hove to Bristol. They head to the Member's Site and update their address details.
As Caroline hasn't joined as a new member, they won't be tagged as such. They'll be added to their new local and regional party Groups in Action Network though.

How To Create A New Member Report

Create Your Query

Although you can go straight to the Report step, and set up your Query there we recommend setting up Queries using the dedicated Query function so that they can be reused in other reports and in email targeting. For more on Queries check out this guide:  Using The Action Network Query Builder.
1. Head to the START ORGANISING menu and click on PEOPLE. From the menu that appears, move your cursor over Queries and click on the plus (+) icon that appears.

2. Give your Query a name that makes it clear what its purpose is to other admins.



3. Using the Query Builder add two rules.
  1. The first should be a Field Value, with the field named Regional_Party or Local_Party, depending on the group type you're targeting. The value for this field should be your local or regional party name, as it's displayed in Action Network.
  2. The second rule should be based on Tags and set to include the Tag GPEW New Member (Joined In Last Seven Days) or GPEW New Member (Joined In Last Thirty Days).
The finished Query should look like the one below.

4. Once you're done, just click on the button marked SAVE QUERY, and your Query will be saved and ready to use.

Using Your Query To Create A Report

1. Head to the START ORGANISING menu and click on People. Move your cursor over Reports, and click on the plus (+) icon that appears.

2. Give your Report a title, that explains who it targets.

3. Click on the drop-down menu labelled Import Query, and select the Query you created earlier. Then click on IMPORT.


4. Your page will refresh with the Query imported in the Query builder below.



5. Scroll down to the Email Subscription Status section and select all the statuses you wish to target.
You can choose only Subscribed members if you want, but we recommend selecting all options to ensure you capture all new members, and not just those who are subscribed to email. 




We don't use mobile messaging through Action Network, so you can safely ignore the Mobile Subscription Status section.


6. Scroll down and click on SAVE & SELECT DATA.



7. On the following page, pick the Fields you'd like to include in your Report from the drop-down menus. You can reorder these, or add more fields by using the ADD MORE FIELDS button.
Remember, you can import fields layouts from another report to save time:  Copying Layouts Across Reports.



8. Once you're happy with the Fields you've selected click on SAVE & GET RESULTS.



9. Your report will run. Depending on the number of results the time this takes can vary, but you'll receive an email letting you know once the report has finished calculating.



Getting A New Member Report Emailed To You Each Week or Month

1. Now that your Report is set up, you can click on Recurring Reports to get an updated Report sent to you at regular intervals.



2. On the Recurring Reports tab simply select the frequency you'd like to receive the Report, the date you'd like to start receiving them (this is optional), and the email address you'd like the report to be sent to.
If you'd like to send the report to more than one person you can add multiple email addresses, separated by a comma.
