Sharing & Organising Files Via Green Spaces

Green Spaces provides a number of modules to help you organise your Group. In this guide we'll look at how you can use the Files module to help you share and organise documents. You can share files via the Stream, or from within the Files module to keep things tidy.

Uploading A File To The Stream

1. At the top of each Space's stream you'll see a text box, where you can add any updates. To upload a file click on the icon that shows a cloud with an up arrow inside it. Pick the file you want to upload from the window that pops up.



2. Add any text you'd like to accompany your upload. This is the message that will appear in the Stream. Once you're done click on the button marked Submit.



3. Ta-dah! Your update will be published, along with your uploaded file.


Using The Files Module To Organise Files

Creating A New Directory/Folder

1. On the left of your Space you'll see the Space menu. Click on Files.

















2. Click on Add directory to set up a new folder.



3. In the box that appears give your folder a Title, and a description. If you want other to be able to see the folder and its contents click on the "Is Public" checkbox.



4. Click on Save and your folder will be created.

Adding Files To A Directory/Folder

1. Navigate to the folder to which you want to upload your file, and click on the button marked Add file(s).



2. Choose the file(s) you want to upload from the window that appears.

Managing Files

1. Navigate to the folder containing the files you want to manage.



2. Click into the checkbox next to each of the files you want to manage.

3. A new menu will appear above your files, marked Selected items. The number in parentheses shows the number of files selected.



4. From the drop-down menu select the action you'd like to complete, from Delete, Move, Make Public, Make Private, and Zip selected.



5. Depending on the action you choose to complete you'll see different things.

Action
What Happens Next?
Delete
You'll be asked to confirm that you wish to delete the selected items. You'll need to confirm by clicking on Delete.
Move
You'll be shown a file explorer, where you can select the folder to which you'd like to move the selected items. Select the folder you want to move your items to and hit Save.
Make Public
Your file will immediately be made public.
Make Private
Your file will immediately be made private.
Zip selected
A Zip file will be generated containing the files selected. You'll be prompted to choose a location to save this on your computer.

Where Do Files Shared Directly In The Stream Go?

Any files uploaded directly to the Stream are saved to folder called Files from the stream, which appears at the top of the Files module. It's not possible to manage files from the stream in the same way as those uploaded to the files module.
