Tagging Multiple Activists Via Upload

Tagging Multiple Activists Via Upload

Uploads allow for mass changes to be made to Activist Records. Before completing an Upload you should check you are confident in what you are doing. Incorrect settings when using Uploads could result in serious data integrity issues, could result in the deletion of Activist Records, and can result in opting Activists into emails without their consent. If you are unsure in any way, do not proceed with an upload and seek guidance by raising a ticket.

Before You Begin

You'll need to prepare a file to upload, in CSV format. You can create this using an application like Excel or Numbers. You only need one column, which will include the email addresses of the Activists you wish to tag. If you already have a file with multiple columns there's no need to remove them. You can instruct Action Network to exclude those columns when completing your import. You'll be left with something that looks like this:

Adding Tags Via An Upload

1. Head to the PEOPLE tab on the Start Organising menu. Click on it and move down to Uploads. Move your cursor over it and click on the plus (+) icon that appears.

2. Click on the link that says Browse for a file. Your Windows Explorer or Finder window will open. Simply select the CSV file you prepared before starting.

3. Once you've selected the file you should see the name of it appear. This shows it's ready to be uploaded.

4. Give your Upload a name. Make it clear what the Upload is for, as it'll help other administrators in future. The Upload name will appear in the Action History section of the Activist Record of anyone included in it.

5. In the field marked Click to select tags start typing the name of the Tag you want to apply to the Activists in your CSV file. Then select it from the search results. You can add multiple Tags by typing the name of the next tag after you've selected your first.
If you haven't yet created the Tag you can do it from this page by clicking on the green plus (+) icon to the right of this field and entering your new Tag name. To find out more about creating Tags check this guide: Creating Tags in Action Network.

6. Below the completed fields you will see a series of checkboxes. You'll notice each of them comes with the warning BE CAREFUL. Moving your mouse cursor over the question mark (?) icon next to each will give a brief explanation of each. Make sure you understand what each of these options means before proceeding.

7. In this example we'll leave each option unticked as we want to subscribe new Activists to email, but we don't want to resubscribe those who've previously opted out. As the purpose of the upload is to Tag Activists the rest of the options aren't relevant. Next click on UPLOAD & MATCH FIELDS.

8. In this example, the CSV file I'm uploading has five columns. Action Network will attempt to match the column headers with a Field automatically. As you can see below the first three columns have been matched correctly, whilst the bottom two columns haven't.

9. As we only actually need to match the Email field we can choose [Ignore Column] for each of the other Fields.
In this example we're aiming to Tag people we know already exist in Action Network, and so we only need to match their Email. If you're adding new Activists then you can match the column headers with their corresponding Fields as needed.

10. Once you're ready to complete your Upload click on the button marked FINISH UPLOAD.

11. You'll be taken to the Uploads page which will show the progress of the Upload you've just completed. You'll see a Progress percentage, a Total column that will show the number of Activists included in the Upload, and an Email column that shows the number of people subscribed to email as part of the Upload. Depending on the size of the Upload you may have to wait for it to complete. You can leave this page, as you'll receive an email confirming the Upload is complete once Action Network has finished updating Activist Records.
