Setting Up Your Green Party Email In Outlook (Desktop)

This guide walks you through adding your Green Party email to Microsoft Outlook on your desktop. Outlook comes in two versions - New Outlook and Classic Outlook - and the setup process differs slightly between them.

Before You Start

You will need three things:
  1. Your Green Party email address (e.g. yourrole@localparty.greenparty.org.uk).
  2. The pasword your were given, or that you set through webmail.
  3. Microsoft Outlook installed on your computer (Windows or Mac).
New Outlook vs Classic Outlook

Microsoft is gradually replacing Classic Outlook with New Outlook. The setup process differs between the two. If you see a toggle labelled New Outlook in the top-right corner of your window, you are using the new version. This guide covers both.


Setting Up Your Email

New Outlook (Windows And Mac)
New Outlook has a simplified setup flow. You will enter your email address and Outlook will usually recognise the account type and guide you through any remaining steps.
  1. Click the Settings gear icon in the top-right corner.
  2. Select Accounts, then under Email accounts, click Add account.
  3. Enter your full Green Party email address and click the Continue button
  4. Enter your password and click Continue.
  5. You'll be prompted to sync your account, click Continue again.
  6. Once you receive a success message, click Done, or if you have another account to add click Add another account and repeat the steps above.
Your inbox should start syncing within a minute or two. If nothing appears after a few minutes, check the Troubleshooting section below.
Classic Outlook (Windows)
Classic Outlook's automatic setup may detect the correct settings for your Green Party email. It is worth trying this first - if it does not work, you can enter the settings manually.

Try automatic setup first:

  1. Go to File > Add Account.
  2. Enter your name, full Green Party email address, and password.
  3. Click Next.
  4. If Outlook finds the right settings, click Finish.

If automatic setup fails or you see a "Something went wrong" error, follow the manual steps below.

Manual setup:

  1. Go to File > Add Account.
  2. Select Manual setup or additional server types, then click Next.
  3. Select IMAP and click Next.
  4. Enter the following settings:
    ServerPortEncryption

    Outgoing mailsmtp.stackmail.com465SSL/TLS
  5. Click More Settings, then go to the Outgoing Server tab.
  6. Tick My outgoing server (SMTP) requires authentication.
  7. Select Use same settings as my incoming mail server.
  8. Click OK, then Next.
  9. Outlook will test the settings. If both tests pass, click Finish.
Do not skip outgoing authentication

You must enable outgoing server authentication (step 6). Without it, Outlook will receive emails but will not be able to send them.

Classic Outlook (Mac)
The Mac version of Classic Outlook uses a slightly different setup flow.
  1. Open Outlook and go to Outlook > Settings > Accounts.
  2. Click the + button, then select New Account.
  3. Enter your full Green Party email address and click Continue.
  4. When prompted, select IMAP (not Exchange or Microsoft 365).
  5. Enter the server settings:
    ServerPortEncryption
    Incoming mailimap.stackmail.com993SSL/TLS
    Outgoing mailsmtp.stackmail.com465SSL/TLS

  6. Enter your password for both incoming and outgoing fields.
  7. Click Add Account.
Your account should appear in the left sidebar within a few seconds.

Verifying It Worked

Once your account is set up:
  1. Check that your inbox loads and any existing emails appear.
  2. Send a test email to yourself to confirm that both sending and receiving work.
  3. Check your Sent folder - the test email should appear there too.
If sending works but your sent emails do not appear in the Sent folder, Outlook may be saving them locally instead of syncing to the server. Go to your account settings and check the folder mapping under IMAP folders.

Troubleshooting

"Something went wrong" error during setup: This usually means the server settings were not entered correctly. Delete the account from Outlook and try again using the manual setup method, checking each setting against the quick reference table above.
Outlook keeps asking for your password: Make sure you are using your full email address as the username (e.g. officer@localparty.greenparty.org.uk), not a shortened version. Also check that the password matches what you use for webmail login.
Can receive but cannot send: The outgoing server authentication setting is missing. Go to your account settings, find the outgoing server settings, and tick "My outgoing server requires authentication." If you have confirmed authentication is enabled and sending still fails, check whether your mailbox is newly created - new mailboxes have a temporary sending limit of 50 emails per day for the first seven days.
Emails appear in webmail but not in Outlook: You may need to subscribe to your IMAP folders. In Classic Outlook, right-click your account name in the folder list and select IMAP Folders, then subscribe to all the folders you want to see.

If none of these solve it, raise a ticket and include which version of Outlook you are using and any error messages you see.
