This guide is for local party officers and volunteers who need to add their Green Party email account to the Gmail app or Samsung Email on Android. This guide covers adding your Green Party email to the two most common Android mail apps: the Gmail app and Samsung Email. Both work well with Stackmail's IMAP servers - you will need to enter the settings manually.

Before You Start

Use IMAP, not POP3

When asked to choose an account type, always select IMAP. Do not select POP3 - it downloads emails to a single device and can remove them from the server, which means other devices and webmail will no longer see them. If you are not sure what this means, see Should I Use POP3 or IMAP For My Green Party Email?

You will need three things:
  1. Your Green Party email address (e.g. yourrole@localparty.greenparty.org.uk).
  2. The password you were given, or that you set through webmail.
  3. The Gmail app or Samsung Email app on your Android device.


Setting Up Your Email

Setting Up In The Gmail App
The Gmail app can handle non-Google email accounts through IMAP.
  1. Open the Gmail app.
  2. Tap your profile icon in the top-right corner.
  3. Tap Add another account.
  4. Select Other (do not select Google, Outlook, or Exchange).
  5. Enter your full Green Party email address and tap Next.
  6. Select Personal (IMAP).
  7. Enter your password and tap Next.
  8. Enter the incoming server settings:
    a. Server: imap.stackmail.com
    b. Port: 993
    c. Security type: SSL/TLS
  9. Tap Next.
  10. Enter the outgoing server settings:
    a. Server: smtp.stackmail.com
    b. Port: 465
    c. Security type: SSL/TLS
  11. Tap Next.
  12. Configure your sync options (how often to check for new mail, whether to get notifications) and tap Next.
  13. Give the account a name (e.g. "Green Party") and confirm the display name for outgoing emails.
  14. Tap Next to finish.
Gmail web is not the same as the Gmail app

Google is removing the ability to add external email accounts to Gmail's web interface (mail.google.com). The steps above are for the Gmail app on your phone, which still supports IMAP accounts.

Setting Up In Samsung Email
Samsung Email is pre-installed on Samsung Galaxy devices and handles IMAP accounts well.
  1. Open the Samsung Email app.
  2. If this is your first account, the setup screen appears automatically. Otherwise, go to Settings (gear icon) > Add account.
  3. Tap Other or IMAP account.
  4. Enter your full Green Party email address and your password.
  5. Tap Manual setup (do not let it try to auto-detect).
  6. Select IMAP account.
  7. Enter the incoming server settings:
    a. Server: imap.stackmail.com
    b. Port: 993
    c. Security type: SSL/TLS
  8. Enter the outgoing server settings:
    a. Server: smtp.stackmail.com
    b. Port: 465
    c. Security type: SSL/TLS
    d. Require authentication: ticked
    e. Use same credentials as incoming: ticked
  9. Tap Sign In or Done.

Verifying It Worked

Your Green Party inbox should appear in the app. Emails will start syncing - this may take a minute or two depending on how many messages you have. Send a test email to yourself to confirm both sending and receiving work.

Troubleshooting

"Authentication failed" error: The most common cause is a mistyped password or username. Make sure the username is your full email address (e.g. officer@localparty.greenparty.org.uk), not a shortened version. The password is case-sensitive.
Gmail app says "Couldn't connect to server": Double-check the server addresses and ports match the quick reference table above. Also make sure you selected Other at step 4, not Google or Outlook.
Can receive but cannot send: Confirm the outgoing server settings are smtp.stackmail.com, port 465, with SSL/TLS. In the Gmail app, go to the account settings and check the outgoing server configuration.
Emails are slow to arrive: In the Gmail app, IMAP accounts are checked on a schedule rather than pushed in real time. Go to your account settings and set the sync frequency to every 15 minutes for the best balance of timeliness and battery life.
Samsung Email keeps asking for the password: Make sure battery optimisation is not killing the app in the background. Go to Settings > Battery > Background usage limits and make sure Samsung Email is not on the sleeping or deep sleeping apps list.

If none of these solve it, raise a ticket and include your device model, Android version, and which app you are using.
